If you are a Fleet type Sentinel team, you will have a Depots page. On this page, you will see all the depots managed by your team and specific details about each Depot on the All Depots tab. You can view the Depot’s Account, Name, City/State, Phone, and Number of Assets, enable or disable a Depot, view Assets associated with a Depot, enable or disable an Asset associated with a Depot, assign Team Member(s) to a Depot, and mark/unmark a Depot as a Favorite. On the Depot Groups Tab, you can create and Edit Depot Groups, Mark/Unmark a Depot Group as a Favorite, Assign/Unassign Team Member(s) to the group, and delete a group.
You can also filter the Depots tab and Depot Groups tab to show only your favorite Depots/Groups by clicking Only Favorites and/or show Depots/Groups only assigned to the user logged in by clicking Only Assigned to Me.
Note: Sentinel Admin or Team Owner status is required to make changes to Depot information. Editor status can only view and favorite Depots/Depot Groups.
Enabling / Disabling Depots
By default, all Depots assigned to your team are Enabled. To disable a Depot, click the drop down beside Enabled and select Disabled. A warning modal will be displayed that disabling this Depot will remove the Depot and all the Depot’s assets from the team and all draft service events for that Depot will be canceled. To proceed, click DISABLE DEPOT or to cancel, click KEEP DEPOT. To enable a disabled Depot, click the drop down beside Disabled and select Enabled. This will re-enable the Depot for the team.
View Depot Details and Assets
To view the details and assets of a Depot, click the three dots to the far right of a Depot and select View Details & Assets. This will display the name, status, location, phone, and Depot # for the depot as well as all the Assets associated with that depot. You have the ability to search and filter assets as follows:
- Search: Type in at least three characters to search for an asset by its Model, VIN, Serial, Chassis ID, or Unit Number.
- Asset Status: All, Enabled, or Disabled.
- Filters: Make, Model, and Year. Note that the values will be populated based on the Depot’s assets.
This page also has a DISABLE/ENABLE button, allowing you to enable or disable the Depot.
Quick Links
There are five Quick Links available from the Depot Detail page. They are as follows:
- View Alerts: If clicked, will display the Assets page with the active units of the Depot displayed.
- View Service Events: If clicked, will display the Service Events page with all service events for the active units of the Depot displayed.
- View Reports: If clicked, will display the Reports page with all report data based on the active units for the Depot.
- View Depot in Case: If you have access to the case portal for the Depot, this link will be enabled and if clicked will take you to the Depot page in Case.
- View Asset in Case: This link appears as a link icon beside each Depot’s asset. If you have access to the portal for the unit, this link will be enabled and if clicked will take you to the Asset page in Case.
Enabling and Disabling Assets
By default, all assets assigned to the Depot are Enabled. To disable an Asset, click the drop down beside Enabled and select Disabled. A warning modal will be displayed that disabling this Asset will remove it from the Team and cancel any draft service events for that Asset. To proceed, click DISABLE ASSET or to cancel, click KEEP ASSET. To enable a disabled Asset, click the drop down beside Disabled and select Enabled. This will re-enable the Asset for the team.
Activity
In this section, all activity related to enabling and disabling assets will be listed giving the date, time, the user making the change, the change made, and the unit information.
Managing Depot Assignees
To manage assignees of a Depot, click the three dots to the far right of a Depot and select Manage Assignees. This will display the Assign Team Member modal. If there are already team members assigned, they will show below Assignees. The Team Member field can be used to add team members. To add a team member, click in the Team Member field. A list of available team members will be displayed. Click on a name to add it to the Assignees list. To remove an assignee, click the X beside the team member’s name. To save the additions and/or removals, click ASSIGN TEAM MEMBER. To cancel all changes, click CANCEL.
View Alerts
To view Alerts for a specific Depot, click the three dots to the far right of a Depot and select View Alerts. This will display the Assets page with the active units of the selected Depot displayed.
View Reports
To view Reports for a specific Depot, click the three dots to the far right of a Depot and select View Reports. This will display the Reports page with all report data based on the active units of the selected Depot displayed.
Depot Favorite Management
A Depot can be favored to identify a Depot that is preferred or needs more attention. You can make a Depot a favorite by clicking the Star beside the Depot and turning the star blue. If you want to remove a Depot as a favorite, click the blue star on a favorite Depot to turn the star white. The Depot will no longer be a favorite.
Note: This change will only apply to the logged in team member.
Depot Groups
A Depot Group gives the ability for admin users to group depots by region, account, terminals, or any other data point important to your business. On the Depot Groups tab, you will see the Depot Group name and for each Depot in the group the Depot’s Name, City/State, Phone, and Number of Assets.
Creating a Depot Group
To create a new Depot Group, click the CREATE DEPOT GROUP button in the top right corner of the Depots page. This will provide the Create Depot Group modal. Enter a name for the group of up to 40 characters and then select Depots by clicking the down arrow in the Depot Name field. You must select at least two Depots to create a group. When you select a Depot, it will show under the Depots list and you can select the next Depot. If you want to remove a selected Depot, click the X beside the depot name to remove it. Once two or more Depots are selected, click CREATE DEPOT GROUP to create the new Group. To cancel the creation of a group, click CANCEL.
Editing a Depot Group
To edit an existing Depot Group, click the three dots on the right side of the Depot Group header and select Edit Group. The Edit Depot Group modal will appear. You can change the group name, add additional depots, or remove depots by clicking the X beside a Depot. Once all changes are made, click SAVE CHANGES. To cancel changes, click CANCEL.
Managing Depot Group Assignees
To manage the team members assigned to a Depot Group, click the three dots on the right side of the Depot Group header and select Manage Assignees. This will display the Assign Team Member modal. This form will display the Depots in the Group as well as any assignees. The Team Member field can be used to add team members. To add a team member, click in the Team Member field. A list of available team members will be displayed. Click on a name to add it to the Assignees list. To remove an assignee, click the X beside the user’s name. To save the additions or removals, click ASSIGN TEAM MEMBER. To cancel all changes, click CANCEL.

Deleting a Depot Group
To delete a Depot Group, click the three dots on the right side of the Depot Group header and select Delete Group. A delete modal will appear warning that deleting the group will disassociate all depots, assets, and service events from the depot group. Click DELETE DEPOT GROUP to delete the group. To cancel the deleting, click KEEP DEPOT GROUP.
