On this page, you will see all the assets managed by your team and specific details for each of those assets. You can filter the list of assets by accounts, depots/customers, multiple asset values and details, as well as event details for these assets. You can also search for specific assets and group them by depots/customers.
Search Assets
The asset search field allows you to look at a specific asset or assets without having to leave the Assets page. You can search by any of the primary or secondary asset identifiers configured for your team.
Once at least three characters are entered in the search field, the assets with matching results will be displayed and the matching results will get highlighted in the assets list.
Filter Assets by Account, Depot, or Customer
Depending on your team configuration, you will be able to view Account and Depot filters or Customer filters.
By default, all assets your team has access to are displayed on your Assets page.
The Account, Depot, or Customer filters allow you to filter the assets by those related to one or more specific accounts, depots, or customers.
The Account filter will only become available if you are on a fleet-type team that has access to multiple accounts.
To filter your assets by Account:
- Click the Account filter dropdown to open the Account filter.
- Select the Custom option to filter by multiple Accounts.
- Click the Account Name search field to get a list of all the Accounts assigned to your team.
- From here, you can scroll and select an Account from the list or begin typing the Account Name in the search field and select it from the search results. When you select an Account, it will be added to the selected accounts list in your filter.
- Continue selecting accounts from the list until you’ve selected all the accounts for which you want to view assets.NOTE: You can remove an account from your list by clicking the X next to its name.
- When you’re ready to see the assets belonging to the selected Accounts, click APPLY. The Assets list will update to show the desired results. The account button will display a single account name if only one account is selected. If multiple accounts are selected, the button will show Accounts (#) where # is the number of accounts selected.
- To change back to view all accounts, click the accounts button and select All Accounts and click APPLY.NOTE: You can click CANCEL at any time to disregard any account filter changes that have not been applied and close the account filter.
To filter your assets by Depot:
- Click the Depot filter dropdown to open the Depot filter.
- Select the Custom option to filter by multiple Depots or Depot Group to filter by specific Depot groups.
- To search for only your favorite Depots, check Search Favorites Only. Click the Depot Name or Depot Group search field to view a list of all the Depot or Depot Groups in the system or your favorites.
- From here, you can scroll and select a Depot or Depot Group from the list, or begin typing the Depot Name in the search field and select it from the search results. When you select a Depot or Depot Group, it will be added to a list in your filter.
- Continue selecting Depots or Depot Groups from the list until you’ve selected all the Depots or Depot Groups for which you want to view assets.NOTE: You can remove a depot from your list by clicking the X next to its name.
- When you’re ready to see the assets belonging to the selected Depots, click APPLY. The Assets list will update to show the desired results. The Depot button will display a single depot or depot group name if only one is selected. If multiple depots or depot groups are selected, the button will show the first depot or depot group name + # More where # is the number of depot or depot groups selected in addition to the first one.
- To change back to view all depots, click the depots button and select All and click APPLY.NOTE: You can click CANCEL at any time to disregard any account filter changes that have not been applied and close the depot filter.
To filter your assets by Customer:
- Click the Customer filter dropdown to open the Customer filter.
- Select the Custom option to filter by multiple Customers.
- To search for only your favorite Customers, check Search Favorites Only.
- Click the Customer Name search field to view a list of all the Customers in the system or your favorites.
- From here, you can scroll and select a Customer from the list, or begin typing the Customer Name in the search field and select it from the search results.When you select a Customer, it will be added to a list in your filter.
- Continue selecting customers from the list until you’ve selected all the customers for which you want to view assets.
NOTE: You can remove a customer from your list by clicking the X next to their name.
- When you’re ready to see the assets belonging to the selected Customers, click APPLY. The Assets list will update to show the desired results. The customer button will display a single customer name if only one is selected. If multiple customers are selected, the button will show the first customer name + # More where # is the number of customers selected in addition to the first one.NOTE: You can click CANCEL at any time to disregard any account filter changes that have not been applied and close the customer filter.
Filter Assets by Alert Type
Alert Types
Sentinel has, by default, four types of alerts and the ability to set up custom alerts. The available data will depend on the existing monitoring possibilities and access to the source data.
Scheduled Maintenance: Maintenance that occurs on a consistent schedule by some factor such as PMs (Preventative Maintenance), Inspections (DOT, State), etc. If the scheduled maintenance is past the factor(s) threshold, it is considered overdue. If the scheduled maintenance is within the factor(s) threshold, it is considered due.
Active Recalls: Manufacturer safety recalls currently issued for the asset.
Expiring Warranties: Manufacturer warranties that will expire within the next 30, 60, or 90 days based on team preferences.
Faults: Faults generated by onboard diagnostic systems that were registered in the last 24 hours, 48 hours, 72 hours, 4 days, or 5 days based on team preferences.
Custom: Sentinel also has the ability to set up custom alerts that can be generated by third-party interfaces.
Filtering Alerts
All active alerts for every alert type will display on your Assets page. The number of alerts for each type display in the Alert Type boxes in front of the description. To filter your assets by Alert Type, select the Alert Types you want to see by clicking them and their boxes will appear in blue. You can select one or more Alert Types at a time.
To remove an Alert Type from the filter, select it again so the blue color no longer appears. The Alert list will display all Alert Types when no boxes are selected or all boxes are selected.
Alert Types available to a team, as well as the alerting criteria, can be configured by Team Admins. If there are more Alert Type boxes than what the viewport size supports, the Alert Type boxes will be collapsed below a More box. Click on the More box to view the rest of the alerts. To select an alert under the More box, click the checkbox next to the alert. If only one alert is checked under the More box, the box will change to the name of that alert and turn blue. If more than one alert under the More box is selected, the box will display More (#) where # is the number of alerts selected. To remove an alert under the More box, uncheck the box beside the alert.
Advanced Filters
Advanced filters are available to provide even greater flexibility on what is displayed for the list of assets. To enable advanced filters, click Advanced Filters. The Advanced Filters window will be displayed. Each field has the ability to multi-select values. To select a value, click the drop-down arrow and select a value. Once a value is selected, additional values can be selected by clicking the drop-down arrow again. If a value is selected, it can be removed by clicking the X beside the value. To clear all selections, click CLEAR ALL. Once all the desired values are selected, click APPLY and the Asset list will update to show the desired results. If the selected filters produce no results, No Assets Found will be displayed. The Advanced Filters button will display a single criteria name (Type, Year, Make, Model, Assignee, or Work in Progress) if only one filter field in the list has at least one value selected. If multiple filter fields have at least one value, the button will show Advanced Filters (#) where # is the number of filter fields with at least one value.
Asset Details
The following asset fields can be used to filter the asset list: Type, Year, Make, and Model.
Work In Progress
Some fields are tied to the Work In Progress checkbox types. The Service Event Status field is tied to the Service Events checkbox. The Case Repair Status and Case Fleet Status are tied to the Cases checkbox, and the Service Request Status is tied to the Service Requests checkbox. The Assignee field is available if at least one person has been assigned to a depot/customer.
Group Assets by Depot or Customer
You can group the assets by Depot or Customer by selecting Depot or Customer from the Group By option. To remove the depot/customer grouping, click Group By and select None.
Sort Alerts by Alert Date or Severity
By default, active alerts are listed by the most recent. You can sort the alerts based on the different subcategories for each Alert Type using the Sort Alerts By option.
You can only sort the assets by one alert type option at a time and at least one alert type must be selected to enable the sort option. Consider using the other filter and group options already mentioned in addition to this sort option to find the assets you need.
Export to CSV
You can export the assets listing and respective asset details by selecting the EXPORT TO CSV button. The CSV report will contain the same list of assets as those presented in the application with a row for each alert on an asset. If you filter the assets in Sentinel, the report will only contain the records based on the filtered assets.
