Set Up Your Parts and Services
Service Provider users with Manager permissions have access to the Administrative Tools section under the Admin tab. This article will cover the Service Customization and Parts Customization sections for the Customize Your Database Administrative Tools.
- Labor Rates
- Labor Hours
- Shop Supplies, Hazardous & Misc. Charges
- Additional Charge Categories
- Pricing by Customer or Price Code
- Default Markup
Service Customization
This is an area where users can customize standard service pricing such as updating labor rates, labor hours, shop supplies, hazardous and miscellaneous charges, etc.
Labor Rates
If you have admin permissions, you can view and edit the 16 different Skill Levels and their Hourly Labor Rates from the Labor Rates for Skill Levels screen within the Admin Tools.
Each Skill Level along with its Hourly Labor Rate can be dedicated to specific jobs. For example, if your location has different rates for your body shop or transmission work, you can add skill levels for both.
Users can then enter line item operations from estimates and directly apply the correct Skill Level along with its Hourly Labor Rate for that line item.
To Customize Labor Rates
- Click the ADMIN link from the menu bar. (You must have administrator privileges to see this menu)
- Click Customize Your Database.
- Under Service Customization, click Labor Rates.
- This will display the available 16 labor rates you may customize. Click the Skill Name or the Labor Rate/Hour to enter the editing screen for that labor rate.
- Enter the description and labor rate for your location for the selected skill level and click SAVE. Repeat for each skill level you want to use.
Labor Hours
Labor Hours is where users can specify percentage markup over SRT time for their location. Users with the correct permissions have the ability to update the labor time markup (in %) of the standard repair time, which is a set of labor hours adopted across the industry (can either be set by OEM or other industry authority). They also can update the labor time rounding information (to 0.1 hour, half hour, hour or no rounding at all) and labor time rounding direction (upwards or nearest). After making these adjustments,
To Customize Labor Hours
- Click the ADMIN link from the menu bar. (You must have administrator privileges to see this menu)
- Click Customize Your Database.
- Under Service Customization, click Labor Hours.
- On the Labor Hours screen, you can enter the labor time markup %, labor time rounding, labor time rounding direction, and check to use rounding when editing labor hours manually. Click SAVE CHANGES to save the changes made.
Shop Supplies, Hazardous & Misc. Charges
Users with admin permissions can apply shop supply fees or hazardous waste fees to labor, parts, or both for your location from the Edit Shop Supplies and Hazardous Waste Charges screen. This includes the fee percentage, minimum charge, or maximum charge.
To Setup Shop Supplies, Hazardous & Misc. Charges
- Click the ADMIN link from the menu bar. (You must have administrator privileges to see this menu)
- Click Customize Your Database.
- Under Service Customization, click Shop Supplies, Hazardous & Misc. Charges.
- For Shop Supply Fees and Hazardous Waste Fees, select what to apply the fees to (Parts, Labor, Both, or None. Enter the percentage to be applied. If you have a minimum and/or maximum amount, enter those. Click SAVE CHANGES to save the updates.
Additional Charge Categories
This is where users can add any additional charges for their location. Here they are able to update the name of the additional charge, along with enabling or disabling it, and the sales tax for this particular category.
To Setup Additional Charge Categories
- Click the ADMIN link from the menu bar. (You must have administrator privileges to see this menu)
- Click Customize Your Database.
- Under Service Customization, click Additional Charge Categories.
- The current charge categories will be listed. Click NEW ADDITIONAL CHARGE CATEGORY to create new charge categories. To edit an existing charge category, click [edit]. To disable an existing charge category, edit the category and uncheck the Active checkbox.
Parts Customization
This is where users can customize parts pricing by price code and by simple pricing.
Pricing by Customer or Price Code
The user can set up specific pricing by customer or by price codes once they click on the link. If users have different prices for specific customers, this screen will allow users to add them. For example: different labor rates for Motor Home Customers.
To setup Pricing by Customer or Price Code
- Click the ADMIN link from the menu bar. (You must have administrator privileges to see this menu)
- Click Customize Your Database.
- Under Parts Customization, click Pricing by Customer or Price Code.
- Click + ADD NEW.
- Users will need to enter the pricing source name; however, for the type and description, users can leave those fields blank if they do not have any information to populate. Click SAVE to save the new pricing source. Note: A description will help to describe in more detail what the pricing source name is and will benefit other users when seeing this screen.
Default Markup
If a user’s location has specific back counter pricing, the user can add this for their location.
This allows for better pricing when adding parts to the cases.
To setup a Default Markup
- Click the ADMIN link from the menu bar. (You must have administrator privileges to see this menu)
- Click Customize Your Database.
- Under Parts Customization, click Default Markup.
- Select the Basis for the part markup, the percentage markup, and any core percentage markup. Click SAVE CHANGES to save the Default Markup.
