Insite - How to navigate folders to find your report:
Overview:
This document will walk a user through the process of navigating the folder structure in Insite to get to a report of interest. There are two approaches that will be described, while Option 1 is the preferred method.
OPTION 1:
- Once you log in to Insite, you’ll see a view similar (but not exact) to the below. Depending on your role, you may see more or less icons on the right as well as more or less options in the blue bar across the top. All users should have the Home, Library and View options though.
- Click on the View option in the blue bar, and you should see a few options (Search Results, Reports, Subscriptions, …). Click on View, and then click on Reports.
- You’ll now have a view with a folder pane on the left and a content pane on the right. The folders will differ depending on your access. You can click on the plus (+) icon next to each folder to expand it or the minus (-) icon to collapse the folder. Once you click on a particular folder, the contents of that folder will display on the right side of the screen.
- For the purpose of this exercise, I want to get to the service provider version of the Best Practices report. I’ll first click the plus (+) icon next to Organizations, then again for Organization as a subfolder, then I’ll click on the plus icon for Service Provider Reports. I now see all of the reports available in this folder on the right, and can click on the Best Practices By Month Report to execute it.
OPTION 2 (Not Recommended):
- Another approach for finding a report is by knowing its name (or some portion of it) and using the Search Results option. From the home screen, click on View in the blue bar at the top, and then click on Search Results. You should see a view similar to the below.
- From here you can click in the search box DIRECTLY BELOW the View option in the blue bar and type in the words you know are in the name of the report. In this example, I’m searching for “best practices by month”. As you can see in the screenshot below, multiple results are returned based on adhoc views, reports or dashboards with that text string in the name, but not a ton of other information is available to let me know which is the service provider version I was looking for.
- If you hover over the reporting object name with your mouse (without clicking), a pop-up should show up that may give you a little more information about the object in question (name, description, folder path). This may help you identify the report you are looking for, but may not be enough. For this reason, it is preferred to search for your report of interest by drilling down through the folder structure (Option 1) so you are able to find the desired object.
